Conditions of the sports program and personal data management


Purpose of the Program:

Kids On Track (hereinafter referred to as KOT) is a sports program aimed at developing sports skills and personality in children aged 2-12 years. The goal is to provide children with a safe and motivating environment for physical development, improvement of social skills, and strengthening of self-confidence.

Program Organizer:

The KOT sports program is organized by the responsible person Martina Saulich, IČ: 01657402, DIČ: CZ016574. KOT provides the facilities, coaches, child enrollment in sessions, and overall organization and conduct of individual sports training sessions and the entire sports program.

Target Audience:

The program is designed for children in five age categories:

  1. 2 to 3 years: Kids On Track first steps
  2. 3 to 5 years: Little athletics
  3. 6 to 9 years: Fun athletics
  4. 9 to 12 years: KOT Academy
  5. 13 to 16 years: Teenage runners

Participation requires an appropriate health status and adequate maturity of the children. It is recommended that parents (legal guardians) consult a pediatrician before enrolling. KOT provides parents with necessary information about the nature of the program and the physical and other prerequisites for children's participation.

Enrollment Process:

A child's participation in the program is contingent upon the payment of the semester fee. A parent (legal guardian) can enroll a child through an online application on the official Kids On Track website. By submitting the application, the parent (legal guardian) confirms the binding nature of the application and agrees to the terms of the KOT program. Upon receiving the application, the responsible person will inform the parent via email about the availability of a spot for the child in the desired term and location, or the parent will receive an invoice for the semester fee. Upon payment of the fee, the child is enrolled in the program. Enrollment in a session is possible at any time during the year if there is available capacity in the chosen session. The parent (legal guardian) will only pay for the remaining sessions in the current semester.

Duration:

The program is organized in the form of semester sessions. Semester sessions usually include one session per week, except on days when school holidays, public holidays, or days of rest fall. Children can enroll in more than one KOT session per week.

Make-ups and Excuses:

Sessions missed due to illness or vacation can be made up in another day or hour, depending on available capacity, but only within the duration of the current session (the right to make up cannot be transferred to the next semester). Missed sessions must be reported no later than 9:00 AM on the day of the missed session, otherwise the session is forfeited and cannot be made up. The same applies to scheduled make-ups.

Session Fees:

The membership fee amount is listed on the electronic application in the registration form on the Kids On Track website and covers the costs associated with organizing the program. The price depends on the number of sessions per semester. For the 2024/2025 school year, the price is set at 205 CZK per session and 240 CZK per session in English (in cooperation with schools and kindergartens).

Trial Session:

A trial session is possible if there is space available in the given session. The session is charged at 205 CZK.

Cancellation Policy:

A parent (legal guardian) can withdraw a child at any time. The refund amount of the membership fee is calculated according to the following rules:

  • Cancellation within 72 hours after the first session: 100% of the paid amount is refunded.
  • Cancellation within 72 hours after the second session: 85% of the paid amount is refunded.
  • Cancellation after the third session and further during the year: 0% of the paid amount is refunded.

The number of completed training sessions from the participant's enrollment in the session determines the refund amount regardless of their attendance.

Responsibilities:

KOT is responsible for organizing the program and individual sessions, training sessions, and professional guidance of children by coaches. During the exercise, i.e., from handing over the child to returning the child, KOT is responsible for the coach's supervision of the child. The presence of parents during children's exercise is not recommended but is possible upon prior agreement with the coach.

The parent (legal guardian) is responsible for handing the child over to the coach before the exercise and picking up the child on time after the exercise. The parent must be reachable by mobile phone during the exercise in case the child needs to be picked up earlier. Arrangements can be made for picking up children from school care. After the session, the parent (legal guardian) picks up the child at the session location.

Parents are responsible for ensuring that the child meets the necessary prerequisites for participation in the program. Coaches are required to inform parents if the child no longer meets the necessary prerequisites. Sick, injured, or infectious children must not be brought to training.

KOT coaches and the responsible person for the program, Martina Saulich, are not liable for the loss or theft of personal belongings of program participants.

Required Information:

In addition to the parent's mobile phone number, we only need the information provided in the registration form on the Kids On Track website.

Clothing and Equipment:

Children should exercise in comfortable clothing that does not restrict movement and in appropriate running shoes. Long hair should be tied back. Jewelry, large hair clips, food, and chewing gum do not belong in sessions. Sessions may take place in the rain and winter, so always choose appropriate clothing according to the current weather. We recommend a water bottle (not sweetened drinks) for the sessions.

Children's Behavior in Sessions:

If a child behaves inappropriately, disrupts the session, or endangers their own or others' safety, we make every effort to resolve the situation in close cooperation with the parent. If the situation cannot be improved, the child may be excluded from the session.

Personal Data Management:

Personal data is processed for the purpose of maintaining a list of KOT program members, communicating with participants and parents, and documenting KOT activities. Data is retained for the duration of membership and participation in the program.

In accordance with the provisions of Act No. 101/2000 Coll., on the Protection of Personal Data, as amended, the parent (legal guardian) gives consent upon registration for the collection, storage, and retention of personal data until their archiving and destruction.

Furthermore, the parent explicitly confirms by their signature that they have read the above terms and conditions and cancellation policy and agree to them without reservation.

Photography and Recording:

Photography and recording during exercise are allowed. If parents (legal guardians) do not agree with the publication of these records, they must inform the program organizer.
